Managing Production Orders with AI

Looking up shop orders

Simply ask: "Which production orders are open?" or "What is the status of shop order WO-2026-0042?" Ledger Botje shows all details including the bill of materials, planned quantities and progress.

Viewing bills of material

Before you start production, you may want to check the BOM: "Show the bill of materials for item FP-100." You'll see all required materials, quantities and available stock.

Issuing materials

During production, you issue materials to the shop order: "Issue 50 units of item RM-200 to shop order WO-2026-0042." The stock is immediately reduced in Exact Online.

Made a mistake? No problem: "Reverse the material issue of RM-200 on shop order WO-2026-0042."

Reporting completion

When production is complete: "Report 100 units as finished on shop order WO-2026-0042." The produced items are added to inventory.

Routing steps and time registration

Do you work with routing steps (operations)? Ask: "Show the routing steps of shop order WO-2026-0042." You'll see all steps with their planned and actual times.

Time registration is also possible: "Register 2.5 hours on operation step 10 of shop order WO-2026-0042."

By-products

Does your production process yield by-products? Report them: "Receive 20 units of by-product BP-050 on shop order WO-2026-0042."

Assembly orders

In addition to production orders, Ledger Botje also supports assembly orders. Search them with "Show all open assembly orders" and finish them with "Finish assembly order AO-2026-0015 with 25 units."

Why production orders suit AI

A production order touches more screens than most other documents: the order itself, the bill of materials, material issue, operations, completion reporting and time registration. Anyone wanting the status of a work order clicks through all of it.

That makes it a good subject to ask about rather than look up. "What is the status of work order WO-2026-0042 and which material has been issued?" is a question that otherwise costs three screens.

What you can query

  • "Which production orders are scheduled this week?" — an overview without diving into planning.
  • "Which material has not been issued yet on WO-2026-0042?" — the outstanding lines directly.
  • "How much has been produced on this order and how much is still open?" — progress in one sentence.
  • "Which work orders are behind schedule?" — the kind of question you would otherwise build a report for.

What you can record

With write access you can also perform actions: issue material, report completion, register time on an operation, or receive by-products. That is especially useful on the shop floor, where someone with a tablet speaks or types faster than they navigate screens.

Do note that a completion report is a stock movement. Have a human confirm that step before it becomes final.

What you will run into

Bills of materials can have versions. If you work with several BOM versions, say explicitly which one you mean. Otherwise the assistant may take the default.

Operations have a sequence. When asking about progress it helps to ask which operation the order is currently on, not just how much is finished.

Check quantities on deviations. If more was produced than planned there is usually a reason the system does not know about.
