Where does Gemini stand out?
Gemini lives in the tools you are already in. That sounds like a marketing line, but the difference is concrete: you do not have to switch tabs to ask a question about your books while replying to a customer email.
The real gain is in what you do next. A table you get in Gemini goes straight into Sheets, where you analyse it further with pivot tables and charts. That is a different way of working from reading an answer and leaving it there. Anyone used to exporting from Exact Online, cleaning a CSV and only then starting skips two steps.
Three patterns that work well
- Explicitly ask for table form. "Give revenue per quarter per product group in a table." The result pastes into Sheets without cleaning. Skip that and you get a bulleted list you still have to convert.
- Answer email with the figures at hand. Asked whether an order has shipped and whether the previous invoice was paid, you look it up without leaving Gmail. That saves a few minutes per email, and those add up.
- Draft a quotation with current prices. Working in Docs, you pull customer-specific prices while typing instead of checking afterwards. It stops an outdated tiered price ending up in a quotation.
Questions to start with
Pick questions whose answer you can verify, so you notice whether the integration does what you expect.
- "Which customers ordered the most in the past three months?" — a good first test: verifiable and immediately useful.
- "Show all hours booked to projects this week." — handy for project leads; check the week boundary matches your own definition.
- "Compare this quarter's revenue with the same quarter last year, per product group." — produces material for a quarterly report straight away.
- "Which outstanding invoices are older than 60 days?" — paste the table into Sheets and you have your call list.
What you will run into

It stays a snapshot. A table in Sheets does not refresh with your administration. Put the date next to it when you share it, or a colleague looks at old figures next month without realising.
Name your administration. If you manage several, Gemini does not know which one you mean. Forget that and you get a correct answer from the wrong set of books.
